What needs was the Digital Archive originally developed for?
Profium’s Digital Archive was originally developed for the needs of public administration organizations in accordance with the SÄHKE2 recommendation. Its purpose is to ensure that documents remain intact and compliant throughout their entire lifecycle. Pasi Tiitinen describes one of the archive’s basic principles: “The digital archive does not preserve everything forever, but ensures that information is retained for as long as needed and destroyed after the defined period.” The archive’s metadata is based on the SÄHKE model.
What is Collection Management best suited for?
The Collection Management solution is designed to support the core functions of museums: “The collection management system supports, among other things, loans, material acquisition, cataloguing of objects, and exhibition use,” says Tiitinen.
The system does not only preserve material, but also documents its story, origin, and cultural-historical significance. The solution is based on the data model of the Finnish museum cataloguing guidelines and the Spectrum standard.
What do these two products have in common?
Although the solutions serve different purposes, they also share common features. Both can store documents and images, and both support long-term preservation. Tiitinen clarifies: “They are built on the same Profium Sense platform, which provides a strong foundation for information management. It ensures that both solutions meet high security and reliability requirements.”
What distinguishes the Digital Archive from Collection Management?
The biggest differences between the solutions are found in their processes and data models. The archive focuses on managing retention periods and destruction, while Collection Management emphasizes documentation and use of materials in museums. According to Tiitinen, the data models of the systems are also very different.
Who is the Digital Archive best suited for?
The Digital Archive serves especially public administration organizations, authorities, and other strictly regulated actors for whom the information lifecycle and responsibility are critical. Private companies also benefit from digital archiving, as the growth in file volumes can quickly make archiving very time-consuming and inefficient. Profium’s Archive supports organizations that need smooth archiving and want to trust that information is preserved and destroyed in accordance with regulations.
Who is Collection Management the right choice for?
Collection Management is a natural choice for regional responsibility museums, smaller museums, and similar organizations that manage culturally and historically valuable materials. Tiitinen states: “Often smaller museums use the system through a regional responsibility museum. This makes it possible for actors with limited resources to also benefit from the service.”
