The Pirkanmaa Regional Museum, working in connection with the Museum Centre Vapriikki of the city of Tampere, is particularly focused on preserving the cultural environment. The museum provides expert assistance in archaeology, local cultural work, civil action, conservation issues, building culture and repair.
"We act as a cultural environment authority, which means that most of the land use plans regarding Pirkanmaa come to us for a statement. Some land use issues, such as archaeologically and culturally-historically significant sites, require field visits and negotiations. Ultimately, the process culminates in issuing a statement, which we jokingly call the tip of the iceberg. It is such a long journey before we reach the signing stage," says Tuija-Liisa Soininen, head of the Pirkanmaa Regional Museum unit.
"We process approximately 600 statements per year and the number is growing year by year. Our customers are municipal land use planners, building supervisors, consultants and design offices. They need an official statement from us so that the values of the cultural environment can be taken into account in planning and construction," Soininen explains.
The statements are made in the Siiri system developed by Profium, which is a joint information service for Tampere museums and local museums in Pirkanmaa, and it is based on the Profium Sense collection management system. The information system catalogues approximately 400,000 photographs, objects and cultural environment sites, which describe the history and present of Tampere and Pirkanmaa in a variety of ways. The archive also contains all official statements issued by the regional museum since 2013.
The partnership between Telia and Profium combined archiving with electronic signing
"The Telia Sign -service, which is directly integrated into our Siiri system, helped to streamline the increased manual signature work. An electronic signature is legally valid, faster and more reliable than a handwritten one. No one can change our statements without breaking the electronic signature," Soininen says with relief.
According to Soininen, the combined system of Telia and Profium brings them enormous benefits.
"The solution brings both flexibility and organization to the signing order, which in turn makes work easier. When signing is no longer time or place dependent, there is no delay in receiving signatures. If the approver wishes, they can collect and combine all signatures from a week, because many processors are preparing different statements at the same time."
“When the signatures are received in the correct order, the final document becomes an official document. This document, in turn, is automatically archived in the Siiri system, where its public sections are visible to anyone who wishes.”
"Thanks to this partnership, we will have a digitalized and automated statement process, which will make our collaboration with our customers more efficient. The efficiency, speed and quality of our customer service will improve when we can offer a better and fully digitalized service," Soininen concludes.
The problem: The Pirkanmaa Provincial Museum runs a 600-statement signing and archiving operation annually, and the number is growing. Manually signing statements on a large scale has become complicated and time-consuming.
The solution: The legally valid electronic signature service was integrated with the Sense software developed and maintained by Profium.
The benefits : Signing statements is no longer time or location dependent, and receiving them is not delayed for this reason. The order of signatures is automatically determined correctly, making the final document an official document that is automatically archived in the Siiri system. The quality and efficiency of customer service are greatly improved.
